Microsoft 365 Copilot and Copilot Studio, rolled out on data that is ready for them

Copilot answers from whatever your people can open, so its first answers often expose old files, broad sharing and missing labels. We get your data and permissions ready, roll Copilot out to the teams who will use it well, and build Copilot Studio agents for the jobs a chat assistant cannot do on its own.

Readiness

Permissions and content first

Microsoft 365 Copilot works with the access each person already has. If a folder of salary files is shared with everyone, Copilot can find it for everyone. Before a rollout we look at sharing across SharePoint, OneDrive and Teams, find the sites with broad access or no owner, and fix the worst of it first.

Then we deal with the content. Redundant, outdated and trivial files make answers worse, so we help owners archive or delete what nobody needs, apply sensitivity labels with Microsoft Purview to what must stay restricted, and set data loss prevention policies for information that must not leave. A well-organized SharePoint is what makes Copilot's answers accurate.

What we do

  • An oversharing review across SharePoint, OneDrive and Teams
  • Clean-up of redundant, outdated and trivial content
  • Sensitivity labels and data loss prevention with Purview
  • A readiness report: what to fix before which teams start

Rollout and adoption

Rolled out to teams with real work for it

Licenses bought for everyone and used by a few is a common outcome. We start with the teams whose work Copilot helps most, usually those that write, summarize and search a lot, and agree what they will use it for. Training is hands-on and specific to each team: drafting in Word, catching up in Teams and Outlook, analysis in Excel, and prompts that give Copilot the context it needs.

We follow use through the Copilot usage reports in Microsoft 365, ask the teams what is working, and adjust the training and the rollout before more licenses are bought.

What we do

  • Pilot groups chosen by the work they do
  • Hands-on training for each team
  • Prompting guidance with examples from your own documents
  • Usage measured before the rollout grows

Copilot Studio agents

Agents for the work a chat window cannot do

Some jobs need more than answers: a document has to be read, checked, filed and reported on every time it arrives. Copilot Studio builds agents that do this, connected to your systems through Power Automate. For a national food cooperative, one reads certificates of analysis as they arrive in the quality team's inbox, extracts 14 fields with AI Builder, checks them, files the PDF in SharePoint and posts a summary in Teams. Fields it is unsure about go to a person instead of being guessed, and hours of daily filing are down to minutes.

Other agents answer marketing questions in plain English, with the calculations run in Python on Azure Functions rather than summarized, or make video and documents in a SharePoint folder answerable from chat. When a job outgrows Copilot Studio, we move the heavy processing to Azure, as we did for a label-comparison agent.

What we do

  • Agents started by an inbox, a folder or a schedule
  • Document extraction with AI Builder or Azure AI Document Intelligence
  • Power Automate flows to your business systems
  • A person in the loop for anything uncertain

Governance

Knowing what Copilot and its agents are doing

Once Copilot and agents are in use, you need to see what they are asked, what they reach and who built them. Princeton Sentinel, our own product, watches Copilot and Copilot Studio agents in your tenant: it logs prompts and tool calls, scores the risk of each agent, flags oversharing and stale access, and screens prompts for injection attempts. It runs inside your own Azure tenant.

Alongside it we set the rules: who may build and share agents, which connectors they may use, and how an agent is reviewed before it reaches more people.

What we do

  • Prompt and tool-call logging with Princeton Sentinel
  • Agent risk scores and oversharing alerts
  • Rules for who builds, shares and publishes agents
  • Data policies for the connectors agents may use

Questions

Common questions

Is our data safe with Microsoft 365 Copilot?

Copilot works inside your Microsoft 365 tenant and uses the permissions people already have; it does not give anyone access they did not have before. The risk is the access people already have and should not, which is why readiness starts with oversharing and labels.

What is the difference between Microsoft 365 Copilot and Copilot Studio?

Microsoft 365 Copilot is the assistant in Word, Excel, Outlook, Teams and the other apps, licensed per person. Copilot Studio is where agents are built: they can follow a process, call your systems through connectors and Power Automate, and run when something happens rather than only when someone asks. Many organizations start with the first and add agents for specific jobs.

Do we need Copilot licenses for everyone?

No. Start with the teams that will use it most and measure what they do with it. The usage reports show who is getting value, which makes the case for more licenses, or against them, from evidence rather than enthusiasm.

What do we get from a readiness review?

A list of the sites, libraries and teams with broad or ownerless access, the content to archive or label, the Purview policies to set, and the order in which teams can safely start. We can fix the findings with your team or hand them over.

Can Copilot Studio agents use systems outside Microsoft 365?

Yes, through connectors and Power Automate, or through APIs we build on Azure Functions. For a food cooperative we are building a workflow, with a Copilot Studio agent alongside it, that keeps customer records in step across an online store, a CRM, an ERP and a marketing platform.
