Business Card Intelligence: every card becomes a qualified lead

Your team comes back from a trade show with a pocket full of cards and no time to type them up. Business Card Intelligence photographs the card, reads it with an AI extraction engine, checks it against leads you already hold, and puts a written follow-up in the rep's Outlook drafts before the badge comes off. It runs inside your own Microsoft 365 tenant - not ours.

How it works

Handshake to follow-up, in three steps

No re-keying cards into a spreadsheet the week after the event. No shoebox of leads that quietly goes cold.

STEP 01

Capture at the booth

Photograph the front and back of a card from any phone browser - even with the venue Wi-Fi down. Bulk-upload a whole binder as a PDF, scan QR badges and digital cards, or pull in phone contacts. A memory photo can ride along, so the name still has a face attached three weeks later.

STEP 02

Confirm a clean record

Cards process in the background while the rep keeps working the floor. The AI engine proposes a structured lead - name, title, company, phone, email - for a five-second confirmation, and flags likely duplicates before anything is written twice.

STEP 03

Follow up while it is warm

A personalised follow-up draft lands in that user's Outlook Drafts, grounded in their notes and the event context. Someone reads it, adjusts a line, and sends. Leads then sync on a schedule into Dynamics 365 or the CRM you already run.

What you get

Capability at a glance

A short tour of the product. Each card links through to the detail on the Business Card Intelligence site.

Five ways to capture a lead

Camera, bulk PDF, QR badge, phone contacts, or manual entry - offline included. Everything lands in one deduplicated pipeline instead of five spreadsheets.

Compare the capture workflows

Follow-ups that write themselves

The AI engine drafts a personalised message from the rep's own notes and the event context, then saves it to Outlook Drafts. It is never sent automatically - a human always presses send.

Your own card, ready to scan

Every user gets a digital business card and a contact QR code carrying a "where we met" note that clears itself overnight - so the exchange runs both ways at the booth.

Look at the digital card

Into the CRM you already run

Scheduled lead sync to Microsoft Dynamics 365 ships out of the box, and Princeton IT Services will connect whatever else you use - Salesforce, HubSpot, or something built in-house.

Tenant-resident by design

Deployed into your Azure subscription. Leads sit in your database, card images in your SharePoint, and the AI runs in your own cloud environment - never a consumer endpoint, never training a public model.

Read the security detail

Visibility for the people paying for it

An admin dashboard shows capture volume by event and by user, AI usage, and where leads are stalling - so marketing can prove what a stand actually returned.

Security & data residency

Your leads never become somebody else's dataset

Most card-scanning apps ship your prospect list to a vendor's cloud, where it sits alongside your competitors'. Business Card Intelligence is deployed the other way round - into infrastructure you already own and already audit.

Full security overview
  • Single sign-on with Microsoft Entra ID. Existing work accounts only, scoped to an Entra ID group you nominate, with a separate group for administrators.
  • Your tenant, your storage. Lead records in your PostgreSQL database, card images in your SharePoint. Nothing is pooled across customers.
  • AI with boundaries. Extraction and drafting run inside your own cloud environment. Card data is never used to train public models.
  • Hardened web application. Strict Content-Security-Policy, HSTS, encrypted session storage, and no third-party trackers. Drafts are written through Microsoft Graph with delegated permissions.

Common questions

Questions we get asked first

A longer list lives in the Business Card Intelligence FAQ.

Does Business Card Intelligence send follow-up emails automatically?

No. The AI engine writes the follow-up and saves it to the user's Outlook Drafts folder. A person reads it, edits it, and presses send. Nothing leaves a mailbox without a human deciding to send it.

Where does our lead data actually live?

In your own Azure subscription and Microsoft 365 tenant. Lead records sit in your PostgreSQL database and card images in your own SharePoint. Princeton IT Services does not hold a copy, and no data is pooled across customers.

Can it push captured leads into our CRM?

Yes. Scheduled lead sync to Microsoft Dynamics 365 ships with the product, and Princeton IT Services can build a connector to whichever CRM you already run - Salesforce, HubSpot, or an in-house system.

Does it work on the show floor when there is no signal?

Yes. Cards can be captured offline in the browser and are queued on the device. They process automatically once connectivity returns, so a weak conference Wi-Fi signal never costs you a lead.

Who can sign in, and do staff need new passwords?

Staff sign in with their existing work account through Microsoft Entra ID single sign-on. Access is scoped to an Entra ID group you nominate, with a separate group for administrators. There are no new passwords and no separate user directory.
